How Keyline handles personal information. Effective July 29, 2026.
Keyline is a tool real-estate professionals use to send client communications. That means we hold two different kinds of information: details about our customers (the agents and brokerages who use Keyline), and details about their clients (the people they write to).
We do not sell personal information. We do not use a client’s contact details for our own marketing. An agent’s client list belongs to that agent and their brokerage — not to us.
If you ask for early access, we collect the name, email address, and brokerage you enter, so we can contact you about availability.
If you have an account, we collect your name, email address, a securely hashed password, your brokerage and licensing details (which the law requires in real-estate advertising), and your settings and preferences.
Contacts you add — the clients you communicate with — typically include names, email addresses, and notes or tags you choose to record. You control what goes in.
Usage information: messages sent, whether they were opened or clicked, and basic technical logs needed to operate and secure the service.
We do not collect payment card numbers directly; if and when billing is enabled, card details go to our payment processor, not to us.
To provide the service — composing, sending, and reporting on the communications you create; to keep accounts secure; to respond to support requests; and to meet legal obligations.
We use AI to help draft and refine copy you request. Your content is sent to our AI provider to generate that draft. It is not used to train that provider’s public models.

We may also disclose information if legally required, or to protect the rights and safety of our users. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
When an agent uses Keylinethrough a brokerage, that brokerage may be able to see contacts designated as belonging to the firm, and may review communications before they are sent, depending on how they configure their account. Your brokerage’s own policies apply alongside this one.
We keep account and contact information for as long as the account is active. When an account is deleted, we remove its personal information within 30 days, except where we must retain records to meet legal obligations — for example, records of commercial email required by anti-spam law. Backups are purged on a rolling schedule.
Depending on where you live — including California, Washington, and other states with privacy laws — you may have the right to access, correct, delete, or receive a copy of your personal information, and to appeal a decision about such a request. We honor these rights regardless of where you live.
Account holders can export or delete their data from Settings.
If you received an email sent through Keyline and want your information removed, you can unsubscribe using the link in that email, or write to us at the address below and we will pass the request to the agent responsible for that list and remove it from our systems.
We protect information in transit and at rest, hash passwords, require strong passwords screened against known breaches, isolate every customer’s data, restrict internal access, and monitor for problems. No system is perfectly secure, but we take this seriously — the information here is our customers’ livelihood.
Keyline is a business tool and is not directed to anyone under 16. We do not knowingly collect information from children.
If we make a material change, we will update the effective date above and notify account holders by email.
